Graduation Procedure
Information on the graduation procedure, graduating cum laude, the ceremony, the time frame and deregistration.
Graduation procedure in three steps
- Approval: Have your study programme as a whole (i.e. your list of courses) formally approved of by the Board of Examiners, preferably as soon as you start working on your thesis. To do that, please fill in this application form and e-mail it to your Coordinator of Studies, g.j.rowicka@hum.leidenuniv.nl. She will check it and forward it to the Board of Examiners.
- Deadlines: Discuss and agree on your graduation planning, the deadlines for the submission of the final versions of your thesis and the ceremony with your supervisors.
- Thesis: Submit the final version of your thesis to your supervisors. Bring a copy to your Education Administration at Van Wijkplaats 3, Room 002 as well and e-mail it as a .pdf to your Coordinator of Studies.
If the information in your uSis student file is incomplete or incorrect, or you have other questions, please get in touch with your Coordinator of Studies well beforehand. When planning your graduation, please take into account the summer holiday period at the Education Administration (generally July and early August), as well as your supervisors’ agendas (holidays, fieldwork trips, conference visits, etc.).
Cum laude
The requirements for a diploma with distinction (cum laude) are as follows: A weighted grade average of minimum 8.5 and the thesis grade of minimum 8.5. (The Board of Examiners may, however, make an exception from the general rules.) Please consult your supervisor beforehand if your results are close to the required.
Ceremony
The graduation ceremony for MA and ResMA students of Linguistics will be organized three times in 2012: in March, June and October. The ceremony is a ‘mock defence’ of the thesis, organised for each graduate individually. It takes about 45 to 60 minutes per graduate. It involves a short (Power Point) presentation by the graduate about the thesis research, answering a few questions asked by the supervisors and the public, and the diploma presentation with a laudatio by the first supervisor. The presence of your supervisors at the ceremony is therefore essential. The ceremony is held in the Academy Building (usually room 01), between 10 am and 17 pm. You are welcome to bring family and friends! Participation in such a ceremony is not obligatory. If you choose for it, please discuss it beforehand with your supervisors.
Time frame
If you would like to take part in such a ceremony, you need to bear in mind the following deadlines:

If you would like to graduate on another day or you have any other questions, please get in touch with the coordinator well in time. Please bear in mind that it may well take a month (or more, during the holiday period) from the moment all your grades have been registered in uSis until your diploma and transcript of records are ready.
As soon as all your grades have been registered you can apply for deregistration as a student and (partial) reimbursement of tuition fees. If your last grade (usually, the thesis grade) is submitted after August 20 please get in touch with your Coordinator of Studies to check if you can still take part in a graduation ceremony. If your last grade is submitted after August 31, you will need to register at Leiden University for (part of) the next academic year to be able to graduate in the new academic year.
